How to Organise a Law Office in Pakistan: 10 Practical Steps

Most advocates did not go to law school to manage an office — yet the way your office runs decides how many cases you can handle, how many dates you miss and how much of your fee you actually collect. Here are ten practical steps that work for chambers of any size.

1. One source of truth for every case

Keep a single record per case: court, case number, parties, stage, next date and notes. Whether it is a register or software, everyone in the office must update the same record.

2. Never leave a case without a next date

At the end of each day, check that every case heard today has a next date recorded. Keep a separate list of matters awaiting a date so nothing slips through.

3. A cause list the night before

Prepare tomorrow’s list every evening, grouped by court, with the file each case needs. Your clerk should be able to work from this list alone.

4. Standard client intake

Record the client’s CNIC, phone, WhatsApp and address at the first meeting. Agree the fee in writing and note it against the case.

5. Bill as you go

Issue an invoice when the fee is agreed or a stage is completed, not months later. Give a receipt for every payment. Clients respect written records.

6. Review receivables weekly

Once a week, look at who owes what and for how long. A polite reminder at 30 days is easier than a difficult conversation at 120.

7. Clear roles for staff

Decide who updates dates, who handles fees and who manages documents. Give each person access only to what they need.

8. A home for every document

Scan orders and pleadings and file them with the case, not in a WhatsApp chat. Name files consistently (date — court — document).

9. Protect client confidentiality

Use strong passwords and two-factor authentication, and avoid storing client files on shared or personal devices without protection.

10. Use templates

Keep standard formats for notices, applications and affidavits. Templates save hours every week and reduce errors.
